After Care Explorers

  • What is it?

    • The after care program at SMES is referred to as Explorers.
    • "After Care" is care of students after dismissal of a grade level at the end of the school day.
  • What are the hours?

    After Care Explorers is in session only when school is in session beginning on the first day of school.
    NOTE: We are NOT available on half days or on conference days. Please see Holiday Camp for options that may be available. 

    • Toddlers, Beginners and Pre-Kindergarten aftercare starts at 1:30 p.m.
    • Kindergarten aftercare starts at 2:50 pm
    • ES aftercare starts at 3:15 pm
    • MS aftercare starts at 3:30 pm
  • Who can attend?

    All St. Martin's students can attend After Care Explorers - Toddlers through 8th grade
  • Schedule

    • Toddlers & Beginners
      1:15 pm     Pick up from their classrooms and check in
      1:20 pm     Prepare for nap time
      2:30 pm     Wake up from nap, gather students for departure
      3:00 pm     Take carpool group out, others that stay have snack
      3:30 pm     Outdoor/Indoor play depending on weather
      4:30 pm     Organized games, centers or arts & crafts
      5:00 pm     Last snack of the day
      5:30 pm     Clean-up/Story time while waiting for pick up
    • Pre-Kindergarten
      1:15 pm     Pick up from their classrooms and check in
      1:20 pm     Prepare for nap time
      2:30 pm     Wake up those students leaving at 2:50 pm carpool
      3:00 pm     Take carpool group out,
      3:10 pm     Wake up those students not leaving in carpool, serve snack
      3:30 pm     Outdoor/Indoor play depending on weather
      4:30 pm     Organized games, centers or arts & crafts
      5:00 pm     Last snack of the day
      5:30 pm     Clean-up/Story time while waiting for pick up 
    • Kindergarten
      3:15 pm     Check in and snack time
      3:45 pm     Outdoor/Indoor play for those who have finished homework
      4:30 pm     Study Hall ends but students can continue working
      4:45 pm     Quiet play, organized activities, games/free play/outside play
      5:00 pm     Last snack of the day
      5:15 pm     Continued play or time for homework until pick up
    • 1st through 8th grade
      3:15 pm     Check in and snack time
      3:15 pm     Study Hall starts for those who have homework
      3:45 pm     Outdoor/Indoor play for those who have finished homework
      4:30 pm     Study Hall ends but students can continue working
      4:45 pm     Quiet play, organized activities, games/free play/outside play
      5:00 pm     Last snack of the day
      5:15 pm     Continued play or time for homework until pick up
  • Where is it held?

    • Toddler, Beginners and PK
      • They are housed in the Toddler, Beginner and PK classrooms on the EC wing of SMES
    • Kindergarten
      • They are housed in a kindergarten classroom
    • 1st through 8th grade
      • They are housed in the Commons or lunch room in Warrior Hall
      • They are separated at each table by grade
  • Enrollment options, Drop-in information and Fees

    You must first decide what kind of care you need. There are two options:
    1. Enroll for the semester
    2. Utilize drop-in care when needed
    Semester enrollment
    • This enrollment option is for the Fall semester that runs from August through December and then for the Spring semester that runs from January through May.
      • This option is for best when you have set days of care that is needed.
      • Enrollment is due:
        1. By July 1 for Fall semester prior to the start of the school year in order to plan for upcoming year.
        2. Changes or cancellations for Spring semester are due between December 1 and the last day prior to Christmas break
        3. We do accept tweaks to the schedules until the end of September for the Fall semester and until the end of January for Spring semester only after which we do not take any new enrollments or changes to schedules.
      • You must complete The Explorer enrollment form for semester enrollment:
        • It will require you to create an account.
        • Please make note of your login and password for this account.
      • Fees are billed per semester in September and again in February for this option.

          • 1:15 pm – 3:15 pm   - includes 2 snack daily
            • 5 days - $720
            • 4 days - $600
            • 3 days - $480
            • 2 days - $360
            • 1 day - $240  
          • 1:15 pm – 6:00 pm   - includes 2 snacks daily
            • 5 days - $2150
            • 4 days - $1750
            • 3 days - $1340
            • 2 days - $940
            • 1 day - $530
        • Kindergarten – 8th grade
          • 3:15 pm – 6:00 pm – includes 2 snack daily
            • 5 days - $1350
            • 4 days - $1110
            • 3 days - $860

    Drop-in care
    • This method is for your occasional need for care or when you have emergencies or events that fall outside of your regular schedule.
    • The online drop-in form that must be completed to notify Explorers of the drop-in dates.
      • Fill out for:
        • Each day you need drop in care.
        • Only one day at a time can be entered, do not enter multiple days on one form.
        • You can enter dates in advance.
        • Each child has to be entered separately. Do not put multiple children on one form.
        • Use the notes section to indicate other pertinent information that we need to know.
        • Email your child’s teacher with the information that they are dropping in to Explorers.
        • Once we open the form we will respond that it was received.
    • We utilize block billing times and you will receive your bill after the end of the month drop-in’s are incurred.

        • Toddlers, Beginners and Pre-K
          • Drop-in from 1:15 pm – 3:15 pm = $15 – includes 1 snack daily
          • Drop-in from 1:15 pm – 6:00 pm = $35 – includes 2 snacks daily
        • Kindergarten – 8th grade
          • Drop-in from 3:15 pm – 6:00 pm = $25 – includes 2 snack daily
       
    • How to make changes to enrollment

      Permanent changes to semester enrollment
      • An example of permanent changes would be changing the days of care you need or the departure time of the care. It also includes updating addresses, phone numbers or the emergency contacts or escorts who can pick up your child.
      • To make permanent these changes:
        • Go the account you created when you enrolled
        • Enter your login and password
        • Select or deselect the options you need to change or enter in changes.
        • Explorers personnel will receive an email when changes have been made and will make the appropriate adjustments.
        Temporary changes to semester enrollment
      • An example of temporary changes in the schedule would be those that only need to be applied for a short period of time and then go back to the original schedule for example “John’s Grandmother, Mary Jones, is picking up on Friday” or “Sally is going on a playdate with Theresa on Monday” or “James doesn’t need to ride the bus today, instead he’s going home in 1:30 Lunch bunch pickup”.
      • To make temporary changes:
       Changes to a scheduled drop-in
      • An example of a change to a scheduled drop-in is when you’ve completed a form for a drop-in and now you need to cancel it or change it for example before your child was going to be picked up by your neighbor, Jane Doe and now they will be picked up by their grandmother, Mary Smith.

    • Where to pick up?

      Where and how you pick up from Explorers depends on the time of day that you pick up. Know that you have access to your child and can pick up at any time. 
      • Pick up between 1:15 pm and 2:50 pm (Toddler, Beginners and PK)
      1.  Enter in the main school entrance. *During construction entrance can be made in the church office lobby.
      2.  Check in at the front desk and obtain name tag
      3.  Walk over to EC to retrieve your child, making sure to make eye contact with an Explorers teacher.
      4.  Exit at the main school entrance and sign out
      • Departure at 2:50 pm (Toddler, Beginners and PK)
      1.  This is EC carpool that is held in the loop in front of the EC door
      2.  You must have your carpool number in your car dash

      • Departure at 3:15 pm (Beginners, PK and K)
        • You have the following options:
          1. Mixed carpool – For those students who have older siblings in ES or MS. K students must enroll in Explorers for this free service. NOTEToddlers will not be taken to this carpool. 
          2. Walkers – For those students who live in walking distance. Must have a permission slip signed with the school.
          3. Bus – For those students who ride the Dunwoody bus. Must be signed up for this service with the school.
      • Departure prior to 4:00 pm (Toddlers – 8th grade) must be done from the main school entrance. *During constructions Toddlers, Beginners and PK will be dismissed from the church lobby entrance.
      • Departure after 4:00 pm (Toddlers – 8th grade) must be done from EC entrance. *During construction Toddlers, Beginners and PK will be dismissed from the church lobby entrance.

    • How do I obtain receipts for taxes and Dependent Care Reimbursement?

      If you have a Dependent Care Reimbursement plan and need a receipt for summer camp, enrichment classes and/or Explorers after care, please find the session you need by following the procedures listed below.  NOTE:  For tax year 2018, there are different procedures for obtaining a receipt depending on the session(s) your child attended.

    Kindergarten Escort

    • What is it?

      • Kindergarten Escort is the Explorers staff takes those Kindergarten students to the designated departure location after their dimissal at 2:50 pm.
      • The Kindergarten students a held in a classroom to wait for the next dismissal time.
      • It is the perfect option for those Kindergarten students that have older silblings they need to meet in carpool.
      • The departure locations are:
        • Mixed 3:15 pm carpool
        • The Dunwoody Bus
        • The Walker area
    • Schedule

      • It is daily starting on the first day of school.
      • The schedule is as follows:
        • 2:50 pm   Gather from Kindergarten teachers and check in
        • 3:00 pm   Story time, restroom break
        • 3:10 pm   Leave for dismissal locations
